4.2 Committee Meeting
i. In each urban area, a committee meeting will be held once for a period of two (2) months. Meeting shall be held once in a month in the event it is deemed necessary by the management.
ii. The committee meeting shall be chaired by a Committee Chairman, or any individual who was given a mandate to represent, as such; the Acting Chairperson. Meeting may commence without attendance of the Committee Chairman or his/her representative based on the condition whereby a mandate has already been given to the Vice Chairperson or Secretary to chair the said meeting, by the Chairman or his/her representative.
iii. Any meeting which defaults to cancellation due to lack of quorum shall be held in one week’s time after the meeting’s cancellation date and at the same time together with or without the meeting’s request letter from the Secretary.
iv. With the exception of Bureau Chairpersons, a Committee Member is required to attend the meeting each time it is held. The Bureau Chairpersons may appoint representatives of their own to attend the Committee meeting in the event whereby they are unable to do so, on a condition in which a written letter on the subject was submitted to the Secretary, and the appointed representative is a Committee Member of the Bureau.
v. Meeting shall not commence without 2/3 of Committee Member’s attendance.
vi. A committee member failing to attend the meeting in three (3) consecutive times without any valid reasoning will automatically be dismissed from the committee. The management will acknowledge the dismissal officially.
vii. The management or any Committee Member with an appointing authority is required to appoint a replacement for a dismissed/resigned Committee Member within a period of one week after dismissal or resignation of the said Committee Member.
viii. The appointed Committee Member is required to hold the position for a period of three (3) years. From that period onwards, the KEJORA management will appoint a new Committee Member. Upon justification, appointment of the Committee Member shall be considered to be made via the Committee General Meeting.
